MVTR EVENT FINANCIAL POLICY


MVTR member only events:
– All participants of the event will be current MVTR or Seacoast Trail Rider members
(Spouses, children and significant others of Club members will be welcomed)
– Membership material will be readily available for immediate, on-site application.
– A fee or suggested donation should be posted to cover reasonably expected expenses. If with due
consideration made, the posted fees or donations do not cover the cost of the event, the Club will absorb the
loss.
– All volunteers assisting in the event will be made known of the event’s purpose; to benefit a charity or in
support of MVTR in general.
MVTR events open to the public:
– After expenses, proceeds split: MVTR- no less than 80% allocated to the MVTR general operating account;
remaining proceeds not to exceed, 20% to be used as the event committee deems appropriate.
– The event committee will make known as to how the 20% expenditure was dispersed. Should the 20% be
donated to a charitable group, the committee will make a best effort in informing the general public of the
donation and sharing with MVTR responding communications from the charity.
– The Classic or its charitable predecessor (MVTR’s primary charitable group) is exempt from the above
consideration.

support of MVTR in general.
MVTR public relations events:
– Community affairs, i.e. youth training, member memorials, etc. will be supported by MVTR and or outside
sponsoring parties.

General conditions and considerations:
– The MVTR Treasurer will be responsible for the handling of the event expenses, collection of event
money, and the dispersal of money following the event. The Treasurer may deputize a trained
representative to attend each event to be responsible for the collection of money. This deputy may direct
additional volunteers as needed.
– Independent concessions are not considered in the above.
– Land owner considerations are part of an event’s expenses.
– All labor, including the trail boss’s is as uncompensated volunteers.
– The above guidelines are not intended to hamper the management of the event organizer but are intended to
maintain a solvent Club treasury and its continued operation.
